The debate is usually framed as a choice: keep your paper, or go digital. In practice, the factories that succeed treat it as a transition, not a switch. The right answer depends on your processes, your people and where the risk actually sits, and for most operations it's a bit of both for a while.
The case for paper
Paper still has real advantages. It's always visible, needs no login, survives dropped signal and dead batteries, and every operator already knows how to use it. On a busy line in variable lighting, a well-printed sheet can be the most reliable interface there is.
Paper's weakness isn't the medium, it's control. A binder is only as good as the last time someone reprinted it. The moment a process changes, every uncontrolled copy on the floor becomes a risk, and nobody can prove which revision an operator was actually following.
The case for digital
- Always current: operators see the approved revision, never a stale printout.
- Traceable: you can prove which version was in use, when, and who approved it.
- Richer: photos, video, zoomable detail and interactive checks that paper can't carry.
- Faster to update: a change publishes everywhere at once, with no reprint-and-distribute cycle.
The trade-off is adoption and infrastructure. Screens, mounts, networks and habits all have to change, and if a digital rollout asks the floor to change everything at once, it usually stalls.
How to actually decide
Instead of choosing a medium for the whole factory, decide process by process. Ask three questions of each one:
- 1How often does it change? High-churn processes benefit most from digital control; stable ones can stay on paper longer.
- 2How costly is an error? Where a mistake means scrap, rework or a safety event, traceability earns its keep.
- 3How visual is the work? Steps that need video or fine detail are natural first candidates for screens.
You don't pick paper or digital for the factory. You pick, process by process, and let the high-risk, high-change work go digital first.
The real answer: one source, two formats
The false choice disappears when paper and digital are two views of the same controlled instruction. Author once, and publish a clean A4 sheet and an operator screen from the same source. Change it once, and both update. That way the argument is no longer paper vs digital, it's simply which format suits each station today, with the guarantee that neither is ever out of date.
